Overview
Booking Defaults let you set booking rules once for the whole workspace instead of on every scheduling event. Every scheduling event uses these defaults automatically, unless you change the setting inside that event — then that event keeps its own value and every other event still follows the defaults.
Booking Defaults include three settings:
| Setting | What it controls | Example |
|---|---|---|
| Default Minimum Booking Notice | How soon before a slot someone can still book it | 1 hour: at 10:00 AM, the earliest bookable slot is 11:00 AM |
| Default Availability Cut-Off | A clock time after which a day closes to new bookings | 6:00 PM same day: after 6:00 PM, the rest of today can't be booked |
| Default Maximum Booking Notice | How far ahead someone can book | 60 days: nothing beyond 60 days out is shown; blank = no cap |
Everything outside these rules stays open for booking.
Before you start
- Booking Defaults is in the top navigation bar of your Calendar workspace, between Reports and Find A Time.
- Defaults apply to all scheduling events in the workspace, so check with your team before changing them.
- Any setting can be switched off with Turn off on the right of its box.
Step 1: Set the Default Minimum Booking Notice
Minimum Booking Notice hides any slot that starts too soon. The cutoff rolls forward as time passes.
- Click Booking Defaults in the top navigation bar.
- Under Default Minimum Booking Notice, open the Lead Time dropdown.
- Choose how much notice you need (for example, 1 hour).
- Check the green summary below the field. With 1 hour, a guest viewing at 10:00 AM sees 11:00 AM as the earliest slot.
- To switch it off, click Turn off.
Step 2: Set the Default Availability Cut-Off
Availability Cut-Off closes a day to new bookings at a fixed clock time, like a nightly cutoff.
- Under Default Availability Cut-Off, click the Cutoff Time field and pick a time (for example, 06:00 PM).
- Open How Far Before and choose when the cutoff applies (for example, Same day – close today).
- Confirm the Timezone. Click change if the cutoff should follow a different timezone than America/Los_Angeles.
- Read the green summary. With 6:00 PM same day, each day's remaining slots stay open until 6:00 PM, then the rest of that day closes.
- To switch it off, click Turn off.
Step 3: Set the Default Maximum Booking Notice, then save
Maximum Booking Notice limits how far in advance a customer can book.
- Under Default maximum booking notice, enter a number of days (for example, 60).
- Leave the field blank (No cap) to allow booking any distance ahead.
- Click SAVE at the bottom of the page. The defaults now apply to every scheduling event that hasn't been changed on its own.
Overriding Booking Defaults on a specific scheduling event
Overview
A scheduling event's Scheduling Rules section does not display your Booking Defaults. It lets you set different rules for that one event instead. Once you set a value there, that event uses it in place of the Booking Defaults; every other event keeps following the defaults.
The event-level fields are:
- Minimum Booking Notice — a Lead Time for this event only
- Availability Cut-Off — a Cutoff Time, How Far Before and Timezone for this event only
- Maximum Booking Notice — an advance-booking limit for this event only
Steps
- Go to Scheduling and open the scheduling event you want to change.
- Expand Scheduling Rules.
- Under Minimum Booking Notice, choose a Lead Time for this event (for example, 1 hour).
- Under Availability Cut-Off, set the Cutoff Time, How Far Before and Timezone for this event (for example, 06:00 PM, Same day – close today).
- Under Maximum Booking Notice, choose a limit, or leave it as None for no cap.
- Click SAVE at the top right. This event now uses its own rules; all other events still follow Booking Defaults.
- To leave the event on Booking Defaults, close it without changing these fields.
Tips and FAQ
- Does changing Booking Defaults update events I already customized? No. An event you changed keeps its own setting. Only events still on the defaults pick up the new values.
- Can I use all three settings together? Yes. A slot must pass the lead time, the cut-off and the maximum notice to be bookable.
- Which timezone does the cut-off use? The one shown next to Timezone, not the guest's timezone. Click change to set another.
- How do I check what guests will see? Open the event and click SHOW PREVIEW.
