Overview
Right-click any event on your calendar to open a shortcut menu. What you see depends on your access to that calendar:
- Read/write calendars show the full menu: View, Edit, Reply all, Forward and Cancel Meeting. Recurring events add a choice of which occurrences to change.
- Read-only calendars show a limited menu: View, Reply all and Forward. Edit and Cancel Meeting don't appear, because you can't change events you don't own.
Events you've been invited to but haven't accepted yet show a response menu: View, Accept, Tentative, Decline and Delete.
What the menu looks like
Right-clicking a recurring event on a read/write calendar opens the full menu. Hovering Edit or Cancel meeting opens the recurring choices. Event names are examples.
Open the menu
- Go to your calendar in Day, Week or Month view.
- Find the event you want.
- Right-click the event (on a Mac trackpad, two-finger click or Control-click).
- Choose an option from the menu that appears.
View
View opens the event's details without changing anything. Works on read/write and read-only calendars.
- Right-click the event and select View.
- Review the title, time, location, attendees, description and attachments.
- Close the window when you're done.
Edit
Edit lets you change the event's time, title, location, attendees or description. Read/write calendars only.
Single event
- Right-click the event and select Edit.
- Make your changes.
- Select Save. If the event has attendees, choose whether to send them an update.
Recurring event
- Right-click any occurrence and select Edit.
- Choose which occurrences to change:
- This event changes only the occurrence you clicked. The rest of the series stays the same.
- This event and following events changes the occurrence you clicked and every one after it. Earlier occurrences stay the same.
- All events changes every occurrence in the series, past and future.
- Make your changes and select Save.
Reply all
Reply all starts a message to the organizer and every attendee of the event. Works on read/write and read-only calendars.
- Right-click the event and select Reply all.
- A new message opens with all attendees in the To line and the event title as the subject.
- Write your message and select Send.
Forward
Forward sends the event invitation to someone who isn't on it yet. Works on read/write and read-only calendars.
- Right-click the event and select Forward.
- Enter the recipient's name or email address.
- Add an optional note and select Send. The organizer may be notified that the invite was forwarded.
Cancel Meeting
Cancel Meeting removes the event and notifies attendees. Read/write calendars only.
- Right-click the event and select Cancel Meeting.
- For a recurring event, choose This event, This event and following events or All events.
- Add an optional message to attendees.
- Select Send cancellation. The event is removed from your calendar and attendees'.
Events you haven't accepted yet
When you've been invited to an event but haven't responded, the right-click menu lets you respond instead of edit.
- Right-click the invitation on your calendar.
- Choose an option:
- View opens the event details.
- Accept confirms you'll attend and notifies the organizer.
- Tentative tells the organizer you might attend.
- Decline tells the organizer you won't attend.
- Delete removes the event from your calendar. For a recurring event, hover Delete to choose which occurrences to remove.
Read-only calendars
On a read-only calendar (for example, a shared or subscribed calendar), the right-click menu shows only the options that don't change the event:
- View to see the details
- Reply all to message the attendees
- Forward to share the invite
To edit or cancel, ask the calendar owner for edit access or contact the organizer.
