Calendar's Zapier integration connects scheduling with over 6,000+ apps to automate workflows without code, triggering actions based on events like new, canceled, or no-show bookings. Key use cases include adding invitees to CRMs (HubSpot, Salesforce), sending notifications (Slack), creating Google Sheets rows, and scheduling video meetings (Zoom).
Key Features and Capabilities
- Trigger Events: The integration uses three main triggers: Invitee Created (new booking), Invitee Canceled, and Invitee No-Show Created.
- Automation Actions: You can automate various actions, such as adding booking data to spreadsheets, updating CRM records, or creating tasks.
- AI Enhancement: Users can leverage "AI by Zapier" to analyze cancellation reasons and summarize meetings.
Common Use Cases
- CRM & Sales: Automatically add new Calendar invitees to CRMs like Pipedrive and HubSpot.
- Notifications: Send real-time Slack notifications for new bookings.
- Data Management: Populate Google Sheets with attendee details.
- Project Management: Create an Asana task for new bookings.
Prerequisites
- You must have a Zapier account (free or paid).
Steps to Connect Zapier
- Login to Calendar.com.
- Click on your Workspace.
- Select Integrations (top menu).
-
Select Zapier (you will get a pop-up with the following instructions and an API key).

Steps within the Zapier Platform
- 1. Now that you have your instructions, you will go into your Zapier account and start the process. Once you log in, your screen will look like the one in the screenshot below, and you will go to create zap.
- Zap Setup:
- Name the zap something descriptive (i.e., Calendar.com to Slack)
-
search for 'calendar' in the search bar and then select Calendar (note the 'C' logo).
- Select the trigger event (i.e., New Meeting is Scheduled in Calendar).
- Enter the API Key Calendar.com provided -- copy and paste your key in the field to continue.
- It will then ask you to test your trigger to make sure your calendar account is connected correctly. It should pass with no problem.
- Once your trigger test is completed, you will choose which app you would like to connect to, for example, in this screenshot, we have chosen to connect with Slack.
- Select Slack
-
Select the Action Event. In the case of Slack and this example, select 'Send Direct Message.'
- 1. After you have set the trigger, you can either add a third app to connect to even more apps, or you can press continue, where it will ask you some basic questions, like the ones you can see in the screenshot below.
- Complete the required fields and continue.
- Test Action
- Select either 'Test and Review' or 'Test and Continue.'
- After your test, it will give you the option to turn on the zap or retest.
- Turn on Zap
- If the test works as expected, select 'Turn on Zap.'
- You are finished. Booked meetings will automatically show up in Slack.
